Job Description:

• In this role, you will be responsible for managing and resolving client inquiries across various channels, primarily through phone and email, ensuring a professional and empathetic approach in every interaction.

• A key part of your responsibilities includes accurately capturing essential details from clients, such as their name, department, contact information, and a clear description of their issues.

• This information serves as the foundation for effective issue tracking and resolution.

• To maintain process efficiency, you will regularly update your availability status in the RAVE system, allowing for timely responses and smooth workflow management.

• You’ll handle each client query by logging, tracking, and documenting all steps and resolutions, adhering strictly to the prescribed processes and protocols to ensure consistency.

• Following Service Level Agreements (SLAs) is vital; you will be expected to resolve issues in alignment with SLA requirements defined within the client contract.

• If resolution exceeds a certain timeframe, you should escalate the query to the Team Leader, especially for urgent or critical issues, ensuring client concerns are addressed in a timely manner.

• An important part of this role is utilizing the organization’s internal knowledge bases and FAQs as support tools for efficient troubleshooting.

• Acquiring a thorough understanding of product details will also enhance your troubleshooting abilities and ensure that you can handle a wide range of client issues confidently and effectively.

• By regularly analyzing call logs, you can identify patterns and recurring issues, allowing you to contribute proactively to problem prevention and potentially improve the efficiency of the client service process.

• Furthermore, you will help maintain and update self-help resources such as FAQ documents, ensuring clients have access to accurate and timely solutions.

• This will help improve resolution times and reduce repeat queries. To ensure legal compliance, it’s essential to provide all relevant product information and disclosures to clients before and after assisting them, helping to manage client expectations and prevent any misunderstandings or potential legal challenges.

• In every interaction, maintaining a clear, professional communication style is essential to support positive client experiences and uphold the company's reputation.

• Your role will be pivotal in creating seamless service delivery, contributing to the client’s satisfaction, and supporting the team’s operational efficiency.
